How to convert Outlook appointments into Teams meetings?

“I have several Outlook meetings and appointments which i would like to turn into Microsoft Teams meetings (including a call link etc’) without creating a new invitation. – Is that possible?

Here’s a step by step process to transition Outlook appointment into Teams meetings, this can be very useful in case of in-person events being transitioned to online, due to participant unavailability or lack of meeting rooms.

  1. Open Microsoft Outlook (either desktop or web)
  2. Go to your Calendar view
  3. Find and double-click the meeting you want to convert – make sure to use the upper Search bar as needed to find your meeting.
  4. In the meeting window, locate the “Teams Meeting” toggle or button
  • In newer versions, it’s often in the top ribbon under the “Meeting” or “Meeting Occurrence” tab
  • In older versions, look for a “Teams Meeting” option under meeting options
  1. Now, click the “Teams Meeting” button or toggle to enable it
  1. Wait a moment for Teams to generate the meeting link.
  2. Review the meeting details to ensure the Teams link is added
  3. Click “Send Update” to notify your meeting attendees of the change.

Note that:

  • The step above adds Teams functionality to an existing meeting – No new meeting is created; the existing one is modified.
  • The original meeting time, date, and attendees are preserved.
  • Attendees will receive an updated invitation with Teams join information.

Key things that could go wrong

  1. Teams button not visible – Ensure that Microsoft Teams is installed in your computer and is integrated to Outlook. If issues persist, contact IT for proper integration setup.
  2. Can’t edit the meeting or Series – Verify you’re the meeting organizer. Only organizers can modify meetings.
  3. If your Teams link doesn’t work – Confirm your Teams account is active and properly configured.
  4. If Meeting is not appearing in Teams – Allow up to 15 minutes for synchronization between Outlook and Teams.
