When OneDrive Files On-Demand does not free space, it is tempting to start deleting folders. Do not. The safer first step is to find out whether Windows is holding local copies because the files are pinned, recently opened, inside a synced folder, or still counted by Storage settings after OneDrive already released them.
The key distinction is simple: freeing space removes the local copy, while deleting removes the cloud file. If you are also trying to reduce what OneDrive syncs at all, use the folder exclusion walk through after you finish the space check.
Read the OneDrive status icon first
Open File Explorer and add the Status column if it is not visible. A blue cloud means the item is online-only. A green checkmark means a local copy exists. A solid green circle with a checkmark usually means the item is pinned with Always keep on this device.
- Blue cloud: the file should not be taking normal local file space.
- Green checkmark: the file was downloaded and can usually be freed.
- Solid green check: the file is intentionally pinned and will return after cleanup.
- Sync arrows: wait for sync to finish before judging disk usage.
If most large files show a solid green icon, right-click the folder and clear Always keep on this device before using Free up space. Otherwise OneDrive may download the content again because the pinning instruction is still active.
Free space from the folder that owns the files
Use File Explorer inside the OneDrive folder, not Windows Storage settings. Select the files or folders that are safe to keep online only, right-click, and choose Free up space. Give OneDrive time to replace the local copies with cloud placeholders.
For shared libraries, check whether the files are being synced from SharePoint or Teams rather than your personal OneDrive. You may need to stop syncing a library, or reduce the folders selected for sync, if the same large library keeps returning to the device.
If a file was opened by Office, Teams, a PDF app, or a backup tool, close that app and try again. A local file handle can keep OneDrive from releasing the copy until the app lets go of it.
When Windows still reports the space as used
Storage settings can lag behind OneDrive. After using Free up space, check the actual OneDrive folder size in File Explorer, then restart Windows if Storage still shows the old number. Do not delete the cloud folder just because the Storage page has not refreshed.
- Confirm the file icons changed to blue clouds.
- Pause and resume OneDrive sync from the system tray.
- Restart File Explorer or reboot Windows if the size display is stale.
- Empty the Recycle Bin only if you intentionally deleted local files.
If your real goal is to remove someone else’s access rather than reclaim disk space, handle sharing separately. The right path is removing OneDrive sharing permissions, not deleting or freeing local copies.
